Online Travel Agency (OTA)

An online travel agency is a digital travel marketplace where customers can search, compare, and reserve accommodation from multiple providers.

An online travel agency, or OTA, is a digital marketplace that allows travellers to search, compare, and book accommodation or other travel products from multiple providers.

Common examples include Booking.com, Expedia, and related travel marketplaces.

What an OTA Does

An OTA may provide:

  • Property discovery
  • Search and filtering
  • Property pages
  • Reviews
  • Availability
  • Rates
  • Reservation processing
  • Guest messaging
  • Promotions
  • Payment services
  • Loyalty programmes

The property supplies or synchronizes the information required to sell through the channel.

How OTAs Receive Availability

For a small property, availability and rates may be updated manually through the OTA's extranet.

More integrated setups use a **Channel Manager**.

The channel manager can distribute Availability, Rates & Inventory and receive reservations back from multiple channels.

Oracle's distribution documentation explicitly describes communicating ARI information with high-value OTAs and receiving channel reservations. Oracle OPERA Cloud channel-distribution documentation

OTA vs. Direct Booking

An OTA booking occurs through the intermediary.

A Direct Booking occurs with the property itself.

These channels can serve different purposes.

An OTA may provide significant reach and discovery.

The direct channel provides more control over the property's own booking experience and relationship with the guest.

Why It Matters

OTAs are not simply external websites displaying hotel information.

They become part of the property's distribution system.

Changes involving:

  • Rates
  • Availability
  • Room types
  • Restrictions
  • Promotions
  • Cancellation policies

may need to remain synchronized across those channels.

Common Problems

Common OTA problems include:

  • Availability updated manually
  • Room types mapped incorrectly
  • Reservations requiring re-entry into the PMS
  • Different rate plans on different channels
  • Promotions unintentionally stacking
  • Property descriptions becoming inconsistent
  • Photos becoming outdated
  • Staff not knowing which system controls a particular setting

How to Improve

Treat OTA distribution as part of the broader booking architecture.

  • Which Channel Manager connects them
  • Which Rate Plans are published
  • Who owns content updates
  • Where reservations arrive
  • How cancellations and modifications synchronize
